The challenge
A clinic group running several locations needed one system for patient records, boarding and grooming. It also needed dependable recurring billing, and a faster way to turn clinical data into useful assessments for vets and pet owners.
What we built
Clinic platform
Multi-location support across patient records, boarding and grooming workflows.
Subscription billing
Plan upgrades, renewals, instalment payments and automatic retries for failed transactions.
Fast payments
Transaction handling moved to async background jobs, so checkout stays responsive.
AI clinical assessment engine
Built with LangGraph and Claude. It runs four diagnostic pipelines in parallel and writes two versions of every report: a clinical one for vets and a plain-language one for pet owners.
AI health questionnaire
Reads live clinic data through MCP tools, and accepts PDFs, images and DICOM scans.
Automated operations
Billing runs, payment retries and data cleanup run as scheduled jobs.
Engineering decisions
- Prompt caching to keep AI running costs low.
- Compressed vector embeddings to reduce storage.
- A provider-adapter layer, so the LLM, vector database and SQL provider can each be swapped without code changes.
- Indexing and eager loading for faster database queries.
The result
One platform runs clinical, operational and billing work across locations. Vets get AI-assisted assessments, pet owners get reports they can understand, and recurring revenue collects itself.
